How to cancel car registration in Queensland after a sale

Cancelling registration is not part of every vehicle sale. If a registered car is transferred to a new owner, the registration normally follows the transfer process instead. Cancellation becomes relevant when the vehicle will be unregistered, dismantled, written off or registered in another state.
The practical risk is cancelling too early or assuming the buyer will do it. Confirm the transaction path first, then keep the cancellation receipt and sale record together.

First decide whether you need a transfer or a cancellation
Use the path that matches what is happening to the vehicle:
- Registered vehicle staying on the road: the usual path is a registration transfer, not cancellation. The seller and buyer each have obligations.
- Vehicle being sold unregistered: cancel the registration first if it is still current, remove the general-issue plates, and document the unregistered sale.
- Vehicle being sold for parts or dismantling: TMR says a registered vehicle must be de-registered before it is sold for parts.
- Vehicle assessed as a write-off: ask the insurer whether it will notify TMR or handle the registration as part of the claim before you cancel it yourself.
- Vehicle being registered interstate: the interstate authority may take the Queensland plates, but Queensland registration is not automatically cancelled.

What you need to cancel Queensland registration
TMR's current process requires the registered operator, or an authorised representative of an organisation, to complete the registration cancellation form. Before starting, have:
- the vehicle registration number and registered operator details
- the completed cancellation of registration form
- both general-issue number plates for a car, unless an exception applies
- a number plate surrender receipt if another authority has already taken the plates
- supporting documents for lost, stolen or destroyed plates where required
- the sale receipt, collection paperwork and copies of anything signed
Only the registered operator can normally cancel the registration. If the recorded operator has died, TMR requires the registration to be transferred to the estate or another eligible person before cancellation so any refund reaches the correct recipient.
What happens to the number plates
For an ordinary Queensland-registered car with two general-issue plates, both are normally surrendered as part of cancellation. TMR gives you a receipt for surrendered plates; keep it with the cancellation confirmation.
Personalised and customised plates follow separate rules. You may be able to keep them, while cancelling the plate combination itself requires an additional form and surrender of the plates. Do not hand personalised plates to a collector unless the ownership and retention plan is clear.
If plates are lost, stolen or destroyed, declare that in the cancellation form. If police have confiscated the plates, TMR says the registration cannot be cancelled during the confiscation period.
How the registration refund works
If the registration is current and in your name when TMR receives the cancellation request, you may be eligible for a refund of the unused registration component and part of the compulsory third party premium.
The refund is not simply every unused charge. TMR excludes some fees and levies, and deducts a cancellation administration fee. Check the current Queensland registration costs and refund fee before relying on a particular amount.
For a written-off vehicle, speak to the insurer first. The insurer may take ownership of the registration under the claim, which can affect whether the former operator receives the unused-registration refund. Where there is no insurer assessment, the cancellation form includes a process for notifying TMR of the write-off.
Three ways to submit the cancellation
TMR currently accepts a completed cancellation request:
- In person at a transport and motoring customer service centre or another listed registration service location, with the plates where required.
- By mail with the signed form and plates or plate-surrender receipt where required.
- By email when the plates have already been surrendered or TMR does not require them to be surrendered.
Use the addresses and eligibility instructions on the current TMR page rather than copying an old address from a forum or saved form.
Keep a clean paper trail after the car leaves
Cancellation deals with the registration record; it does not replace proof of sale. Keep a receipt or sale document that identifies the seller and buyer, the date, the VIN or chassis number, the agreed transaction and both signatures where applicable.
Photograph the vehicle, VIN, odometer and plates at handover. Keep the plate-surrender receipt, cancellation confirmation, payment record and collection paperwork together. This evidence matters if a toll, infringement, registration question or ownership dispute appears later.
